BOOKING TERMS AND CONDITIONS

THE CONTRACT for a short-term holiday rental will be between the White Rose Holiday Cottage Owners (referred to as “us” or “we”) and the person making the booking and all members of the holiday party (referred to as “you” or “your”) in the following booking conditions. UK law will govern the Contract. The contract of hire is not effective until we have processed the deposit. The contract will be subject to these booking conditions and must be complied with. The party leader must be at least 18 years of age at the time of booking and the names, addresses and ages of your party must be shared with the Owners on request.

The contract binds you (the lead booker) and all the members of the party who are part of the booking. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms and conditions. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract and loss of the booking.

PAYMENT: Bookings are confirmed on receipt of the booking form and receiving the non-refundable deposit of 25% of the holiday cost. The balance of the rental will be due for payment 42 days before the arrival date; you will be sent email notification that the balance is due. We reserve the right to cancel a booking where payment has not been received 42 days before the commencement date, in which case the deposit is forfeit.

If the booking is made within 42 days of the arrival date, then payment will be due in full.

No entry to the property will be allowed without payment, in full, being cleared beforehand. Once you have a confirmed booking, (i.e., the deposit has been paid and processed), you are responsible for the full rental cost even if you subsequently cancel.

CANCELLATION: Cancellations must be immediately notified to us by email. If we are able to re-let your dates we will refund you the final letting price (which may be less than you paid) less an administration fee of 5% of the total rental cost per booking. If we are unable to re-let, you remain responsible for the full rental cost and there will be no refund under any circumstances.

CANCELLATION AND TRAVEL INSURANCE: Cancellation & Travel Insurance is not compulsory but we strongly recommend such insurance to protect against the cancellation penalty. In case of cancellation, the deposit and balance will only be refunded if the cottage is re-let.

CHANGE OF DATE REQUEST: White Rose Holiday Cottage may consider a request from you to change the dates of the booking after your booking has been confirmed. Agreement will be given if the request is made more than 8 weeks away from the start of the booking and there is availability for the requested new dates. In the event that the price of the new stay dates is higher than the original booked dates, an additional payment representing the shortfall will be required in order to confirm the booking for the replacement dates. In the event that the price of the new stay is lower than the original booked dates, a refund will be given representing the overpayment.

Where a request to change dates is made less than 8 weeks prior to the commencement of your stay, White Rose Holiday Cottage may accommodate such request, if possible, at their absolute discretion. Payment of any shortfall in the price paid will be required in order secure the booking for the new dates. If the price for the new dates is lower than the original booked dates, a refund will be given net of our administration fee of 5% of the original price. If the original dates are re-let, the 5% administration fee will not be charged and if already charged, will be refunded.

DAMAGES AND BREAKAGES: Please treat the facilities and accommodation with due care so that other Guests may continue to enjoy them. If you notice something missing or damaged in your accommodation, please let us know immediately so that we can take the appropriate action. We know that accidents happen; if there has been any damage or breakages during your stay, we would be grateful if you could report them promptly before check-out so we can replace items ready for our next guests. The accommodation will be inspected at the end of the holiday and you may be charged for any loss or damage. Any charges must be paid within 7 days of notification.

CARE OF THE PROPERTY: You are responsible for the property and are expected to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. You must leave them in the same state of repair, and in the same clean and tidy condition at the end of the rental period as at the beginning. This includes removing perishables from the fridge and freezer, washing up dishes / placing them in the dishwasher and turning it on, removing all rubbish and recycling to outside bins, and ensuring ovens and barbecue are clean and free from grease.

We reserve the right to make a charge for extra cleaning if the accommodation is not left in a satisfactory condition. You must not use the property for any dangerous, offensive, noxious, noisy, illegal or immoral activities or carry on there any act that may be a nuisance or annoyance to the owner or other neighbouring properties.

Please do not wear shoes upstairs.

Please lock the doors and close the windows when you leave the property unoccupied.

Please make sure you switch off lights, turn down heating, or any electrical appliances when you go out – we are an eco-friendly holiday home.

If you lose a key, or fail to return it at the end of your stay, the cost of replacement will be charged to you.

You are legally bound to reimburse us for replacement, repair or extra cleaning costs on demand. Any charges must be paid within 7 days of notification.

PETS: Up to two dogs over 6 months of age are permitted in the property. Dogs must be booked in advance and on the understanding that all flea and worming treatment must be up to date. There is a £25 charge per dog. Dogs must not be left alone in the property at any time. They must not be allowed upstairs or on any furniture whatsoever. Guest are responsible for cleaning up after their animals, and disposing of waste appropriately.

Please do not wash your dogs in the shower. An outside tap is available if needed.

If the property requires additional cleaning due to excessive hair, or if dogs have been in bedrooms or on a sofa or waste is not removed, we will charge a £50 fee to cover the additional cleaning costs.

You are responsible for your pet, and you will be charged for any damage caused by your dog.

SMOKING, CANDLES AND FIRES: Smoking, including e-cigarettes and vaping, is not allowed in the cottage. Vaping or smoking anywhere inside the premises will result in immediate termination of occupancy and forfeiture of all payments. Any damage or extra cleaning caused will be at your expense. Any charges must be paid within 7 days of notification.

If you choose to smoke outside the property, please ensure all debris is cleaned up and disposed of appropriately.

Under no circumstances are candles or any other naked flames permitted inside the property. Fireworks, Chinese lanterns, fire pits and portable BBQs are prohibited anywhere inside or outside the property.

Please do not leave the log burner burning in an unattended property or throughout the night. We recommend you light it only when you plan to be in attendance during the period of burning.

PERIOD OF HIRE: Arrival time is 4pm onwards on the commencement date of your stay. We offer self check-in so you may arrive at a time of your choosing, as long as this is 4pm or later on your arrival day. Departure time is by 10am on the final day. Delays in departure or early arrival (unless by prior agreement with us) will result in you being charged a further day’s rental.

You must not use the property except for the purpose of a holiday during the holiday period, and not for any other purpose or longer period. The agreement to stay in the property for the holiday period does not create the relationship of Landlord and Tenant between the parties. You shall not be entitled to a new tenancy, or to any assured short hold or assured tenancy or any statutory protection under the Housing Act 1988 or other statutory security of tenure now or at the end of the Holiday Period.

We reserve the right to terminate your stay at the property at any time where you, or any member of your party, has caused damage or behaves inappropriately (for example by being abusive, aggressive, violent or intimidating). In such circumstances we shall not be liable to refund you for any remaining portion of your stay.

RIGHT OF ENTRY: We shall be allowed the right of entry to the property at all times (without prior notice if this is not practical or possible) for the purposes of inspection, to carry out any necessary repairs or maintenance, or in the case of emergencies.

ELECTRIC VEHICLE CHARGING: We provide a dedicated EV charging point on site. Guests need to provide their own charging lead (EVCP – 7.2KW, Type 2 Socket, Fast Charger). Usage is charged at cost, based on the price per KwH, and measured via a separate meter that exists for the charger. We do not guarantee availability and unavailability shall not constitute a breach of our booking contract.

The charging point is for the use of the booking party only. Use is at the owner’s own risk and we do not accept any liability for loss or damage sustained by you or your vehicle as a result of using the charger unless the damage was caused directly by our negligence.


You shall be responsible to us for any damage to the charging point or loss suffered by us caused by your use of the charging point.

Domestic electric vehicle chargers (commonly known as a ‘granny charger’ or a ‘trickle charger’) are not suitable for use at the property and are strictly forbidden. You are liable for any damage or loss suffered by us due to your unauthorised use of domestic chargers.

WIFI: Wi-Fi is provided for the guest’s reasonable use. The guest agrees to reasonable and lawful usage of this service.

OCCUPANCY OF THE PROPERTY: Under no circumstances may more than 2 persons (plus an infant under 2 years if applicable) occupy the property. Only those named on the booking may stay at the property. We reserve the right to refuse admittance if this condition is not observed. Only members of your party may use the facilities at White Rose Holiday Cottage; under no circumstances may you re-let or sub-let the property. If you wish to invite additional visitors to visit you during your stay, please ask us first.

LIABILITY: White Rose Holiday Cottage, its employees and representatives shall not be liable to you or your party for loss or damage to property howsoever arising. You must take all necessary steps to safeguard yourselves and your property.

CIRCUMSTANCES BEYOND THE CONTROL OF THE OWNER (FORCE MAJEURE): If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, exceptional weather conditions, epidemics/pandemic, destruction/damage to the property (“force majeure“) you will be refunded the full amount of the booking. If we have to terminate your holiday early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. No additional compensation, expenses or costs will be payable.

COMPLAINTS: Every effort has been made to ensure that you have an enjoyable stay. However, if you have any problem or cause for complaint, it is essential that you contact us immediately to give us the chance to resolve it. We value your custom and want you to return.

GENERAL: Whilst every care is taken to provide a true and accurate description of the property on our website, in marketing material and in email communications, alterations and updates will be made throughout White Rose Cottage over time. The Guest accepts that no refunds are available for any such discrepancies.

In the event that any individual term or clause stated in these Terms and Conditions of Let is not permissible by law, the remainder of the agreement shall remain valid.
